Description

Elektron Energy is looking for a Vendor Onboarding Coordinator to support a time-bound vendor governance project. This is a contract role focused on inventorying and onboarding all existing vendor relationships into our Vendor Governance Tool. The work is coordinator and admin in nature reaching out to internal stakeholders, collecting documentation from vendors, uploading files, and tracking everything through to completion. If you are someone who is organized, persistent, has excellent attention to detail, and good at following up with people, you will thrive in this role.

Temporary/contract role, 8 weeks, Monday–Friday, 40 hours per week. Rate $40–$50/hour depending on experience. Fully remote preference for candidates working EST hours. Reports to the Head of Internal Audit & Internal Controls.

Responsibilities

  • Own vendor outreach and inventory contact internal stakeholders to identify all existing vendor relationships and build out the comprehensive vendor list in the Vendor Governance Tool
  • Collect and track due diligence documentation from vendors (W-9s, insurance certificates, SOC 2 reports, business registrations, and other tier-appropriate items)
  • Enter vendor data and risk assessment inputs into the tool and maintain organized records
  • Monitor sign-off workflows, follow up with approvers on outstanding items, and escalate overdue items to Internal Audit
  • Send follow-up reminders to vendor owners and vendors for outstanding documentation
  • Support onboarding of new vendors engaged during the contract period
  • Assist with preparation of quarterly Audit Committee reporting packages
  • Maintain filing consistent with document retention requirements

Requirements

  • Strong organizational skills and experience managing multiple tasks without dropping the ball
  • Comfortable chasing people down professionally and persistently until things get done
  • Proficiency with web-based tools and document management systems
  • Clear, professional written communication
  • Prior experience in an admin, coordinator, EA, operations, data/systems, or similar role preferred
  • Familiarity with vendor documentation or compliance processes is a plus, but not required
